HIAS+JCORE PRIVACY POLICY

This policy explains how HIAS+JCORE may use the information we collect about you, and how we protect the data you have given to us, as well as the rights you have over any personal information we hold about you.

HIAS+JCORE is committed to ensuring your privacy is protected. If we ask you to provide certain information by which you can be identified when using this website, then you can be assured that it will only be used in accordance with this privacy policy.

We may change the policy from time to time but will alert our members and supporters when this happens. We also encourage you to check this page occasionally to ensure that you are happy with any changes.

Who are we?

HIAS+JCORE is a registered charity: number 1132666 and a registered company: 6620941.

Our charitable purposes are:

  1. The promotion of racial harmony for the public benefit by:

(a) promoting knowledge and mutual understanding between different racial groups;

(b) advancing education and raising awareness about different racial groups to promote good relations between persons of different racial groups;

(c) supporting learning in both formal and informal sectors, such as schools, synagogues, and Jewish communal organisations, to spread an awareness of community and race relations issues throughout the Jewish community;

(d) encouraging the commitment of the Jewish community to these objects and stimulating its active involvement in their pursuit.

  1. The advancement of education in particular but not exclusively of young people in relation to issues of racial equality.
  2. The relief of need for public benefit amongst asylum seekers and those granted refugee status by the provision of vocational skills and training, advice and support so as to advance them in life and any other relevant means appropriate for that purpose that may apply.
Data Controller

HIAS+JCORE acts as a ‘data controller’ as it is responsible for processing personal data of the people it works with. HIAS+JCORE will demonstrate compliance with data protection principles as a controller.

How do we collect information from you?

We obtain information about you when you become a supporter or donor, use our website, subscribe to our electronic newsletter or attend any of our events.

Additionally, we obtain information if you are volunteer or client of one of our projects.

Web Statistics and Analysis

We may also aggregate information about you with information about other visitors to the website in order to identify trends (‘Aggregated Data’). However, such information will not identify you personally.

For donors, supporters and newsletter subscribers this may include:
• Name
• Email address
• Organisation link (if relevant)
• Postal address
• Phone numbers

For clients and volunteers, we need to collect a range of additional information. This information will normally be provided by the volunteer, client or referral agency but we may need to collect data from other sources to ensure the safe running of our projects.

How is your information used?

We need this information so we can keep you informed and maintain the safety of our clients. We periodically send newsletter emails about new resources, events or other information which we think you may find interesting using the email address which you have provided. We may also write to you about funding appeals. You might be contacted by email, phone or mail.

Security

We are committed to ensuring that your information is secure, accurate and up to date, and that we only keep it as long as is reasonable and necessary. In order to prevent unauthorised access or disclosure, we have put in place appropriate technical and organisational security measures to safeguard and secure the information we collect online.

Data on donors, supporters and newsletter subscribers

We do not store your personal information other than on our Data Processors’ secure systems. However the transmission of information over the Internet is never completely secure, so while we do our best to protect personal information, we cannot guarantee the security of information transmitted to the HIAS+JCORE website.

Data on volunteers and clients is stored on password protected HIAS+JCORE devices, and on a database stored on a secure ‘cloud’ server.

Who has access to your information?

Details can only be accessed by the HIAS+JCORE staff.

We will not sell, distribute or lease your personal information to third parties unless we are required by law to do so. No-one outside HIAS+JCORE will have access to your information apart from our board members who are sent names and addresses for sending appeal letters and invitations.

Who processes your personal information?

In order to ensure the most secure systems for the handling personal information and communications we use international companies to store and process our data, all of whom are compliant with the requirements of UK data privacy law. These include:

  • Vertical Response as our data processor in respect to the processing, storage and analysis of our subscriber information.
  • Mailchimp as our data processor in respect to the processing, storage and analysis of our subscriber information.
  • Google Analytics as our data processor for tracking general site traffic and usage.

By signing up for HIAS+JCORE’s newsletter, individuals acknowledge they have read HIAS+JCORE’s data privacy notice and consent to receiving newsletters and relevant information.

Controlling your personal information

You can change your mind about the consent you have given us.

How you can access and update your information

The accuracy of your information is important to us. If you change your email address or if any of the other information we hold becomes inaccurate or out of date, please email HIAS+JCORE at admin@hiasjcore.org

How you can delete your personal information

Use of ‘cookies’

A cookie is a small file which asks permission to be placed on your computer’s hard drive. We use traffic log cookies to identify which pages are being used. This helps us analyse data about web page traffic and improve our website in order to tailor it to customer needs. We only use this information for statistical analysis purposes and then the data is removed from the system.

Transferring your information outside of the European Union

As part of the services offered to you through this website, the information which you provide us may be transferred to countries outside the European Union. By way of example, this may happen if any of our servers or Data Processors are from time to time located in a country outside of the EU. These countries may not have similar data protection laws to the UK. By submitting your personal data, you are agreeing to this transfer, storing or processing. If we transfer your data outside of the EU in this way, we will take steps to ensure that appropriate security measures are taken with the aim of ensuring that your privacy rights continue to be protected as outlined in this Policy.

Your rights

As a data subject, you have a number of rights. You can:

  • access and obtain a copy of your data on request;
  • require the Company to change incorrect or incomplete data;
  • require the Company to delete or stop processing your data, for example where the data is no longer necessary for the purposes of processing;
  • object to the processing of your data where the Company is relying on its legitimate interests as the legal ground for processing; and
  • ask the Company to stop processing data for a period if data is inaccurate or there is a dispute about whether or not your interests override the Company’s legitimate grounds for processing data.
